HSE Administrator / Assistant to HSE Manager

Key Responsibilities:
Provide daily administrative and operational support to the HSE Department.
Maintain and update HSE records, reports, and documentation in compliance with company policies and ISO 45001 standards.
Assist in preparation of incident, near-miss, and hazard reports; ensure proper filing and follow-up on corrective actions.
Participate in HSE meetings, take minutes, and track action items to ensure timely closure.
Support HSE audits and inspections — prepare documentation, follow up on findings, and assist with corrective action plans.
Assist in developing and implementing Health, Safety, and Environmental (HSE) policies, procedures, and programs.
Coordinate internal and external HSE training sessions, maintain training attendance and certification records.
Prepare monthly HSE performance reports, including key performance indicators (KPIs), trends, and analysis.
Maintain HSE communication boards, safety alerts, and awareness materials at the workplace.
Ensure that all contractors and visitors comply with company safety rules and procedures.
Provide administrative assistance in risk assessments, safety briefings, and toolbox talks.
Support emergency response planning, drills, and recordkeeping.
Liaise with HR, operations, and contractors to ensure alignment of HSE practices across departments.
Monitor the use and maintenance of personal protective equipment (PPE) and report shortages or issues.
Requirements:
Bachelor’s degree in Occupational Health & Safety, Environmental Science, Engineering, or a related field.
Minimum 1–2 years of experience in an HSE role, preferably in an administrative or assistant capacity.
Good understanding of ISO 45001 and occupational health and safety management systems.
Proficiency in Microsoft Office (Excel, Word, PowerPoint) and familiarity with HSE documentation systems.
Strong organizational and reporting skills with high attention to detail.
Effective communication skills in Azerbaijani and English (Russian is an advantage).
Ability to multitask and work collaboratively in a dynamic environment.
